EXECUTIVE ASSISTANT

Job Description:

The Executive Assistant will support the CEO and COO by being a true business partner and their extension. The role requires a proactive self-starter who is extremely professional, can anticipate situations and issues before they arise and learn in a fast pace environment.

This role will involve complex project management, calendaring, administrative tasks, hiring and other HR activities (coordinating interviews, collecting feedback, scheduling reference check calls, streamlining internal systems and processes for things like Payroll, health insurance etc. Responsible for meeting notes, expense reports, company events and culture, and various special projects. Working closely with the broader Executive Staff, the Executive Assistant will also hold hold meetings and be entrusted with sensitive documents and relationships.

Responsibilities:

  • Responsible for assisting in a wide variety of functions including administration, executive support, strategic planning, operations, and project management
  • Calendar and logistics management: executive team meeting scheduling, travel coordination, interviews, field events, clients and prospect visits, etc.
  • New employee and intern on-boarding
  • Presentation preparation for executive meetings, and event/panel presentations
  • Assist executives in managing company-wide objectives and growth
  • Office management, and third-party services/vendors
  • Proactively manage both personal and professional calendars
  • Event planning and vendor negotiation including but not limited to: company outings, lunch and learns, client visits
